Position Overview
We are seeking a commercially aware and highly organized Procurement Specialist to support purchasing operations and supplier-management activities within a professional organization in Tallinn, Estonia. The successful candidate will be responsible for coordinating procurement processes, evaluating supplier opportunities, monitoring purchasing requirements, and ensuring that goods and services are acquired efficiently and in accordance with organizational standards.
This office-based position requires strong communication, negotiation, analytical, and organizational skills. The Procurement Specialist will work closely with internal departments, external suppliers, finance teams, and management to ensure that purchasing decisions support operational requirements, cost efficiency, quality expectations, and long-term business objectives.
Key Responsibilities
- Coordinate purchasing activities and manage procurement documentation.
- Identify and evaluate potential suppliers and business partners.
- Request and analyze quotations, proposals, and commercial offers.
- Support supplier negotiations and contract discussions.
- Monitor purchasing budgets and identify opportunities for cost efficiency.
- Maintain accurate procurement records and supplier information.
- Work with internal departments to understand purchasing requirements.
- Monitor supplier performance, delivery schedules, and service quality.
- Support the development and improvement of procurement procedures.
- Prepare procurement reports and commercial analysis for management.
Candidate Requirements
- Bachelor’s degree in Business, Supply Chain Management, Procurement, Finance, or a related discipline.
- Previous experience in procurement, purchasing, administration, or supply chain operations is preferred.
- Strong negotiation and communication abilities.
- Good analytical and commercial awareness.
- Excellent organizational and documentation skills.
- Ability to manage multiple supplier relationships and priorities.
- Professional knowledge of Microsoft Office and business-management systems.
- Strong English communication skills; Estonian language knowledge is an advantage.
