Position Summary
We are seeking a highly analytical Payment Reconciliation & Settlement Analyst to oversee the matching, investigation, and resolution of differences between internal transaction records and external financial statements.
The role is particularly important in payment environments where transaction activity passes through multiple systems, banking partners, payment processors, and settlement accounts. The successful candidate will ensure that financial records remain accurate, outstanding differences are investigated promptly, and settlement activity is supported by reliable evidence.
This is an individual-contributor position for someone who enjoys working with financial data, identifying discrepancies, improving processes, and maintaining robust operational controls. The role offers exposure to payment infrastructure, banking integrations, transaction reporting, and financial systems in Estonia’s digital business environment.
Core Responsibilities
Transaction Reconciliation
- Perform daily reconciliation of payment processor reports, bank statements, settlement files, internal ledgers, and transaction databases.
- Match transaction records using reference numbers, timestamps, amounts, currencies, settlement identifiers, and other relevant fields.
- Investigate unmatched entries, duplicate records, missing transactions, partial settlements, and timing differences.
- Distinguish between legitimate settlement timing differences and discrepancies that require corrective action.
- Maintain a structured register of outstanding reconciliation items, including their value, age, status, and resolution owner.
- Ensure that all adjustments and corrections are properly documented and authorised.
Settlement Monitoring
- Track expected settlement dates and verify that funds are received or paid in accordance with contractual arrangements.
- Investigate delayed, incomplete, or unexpected settlements with banks and payment service providers.
- Review transaction fees, commissions, refunds, reversals, and chargeback-related entries for consistency with supporting records.
- Reconcile payment activity across supported currencies and payment methods.
- Escalate material financial differences, recurring settlement failures, and potential control weaknesses.
- Support month-end and year-end financial close by ensuring that reconciliation items are accurately classified and documented.
Data Analysis and Process Improvement
- Use Excel, SQL, and reporting tools to analyse large transaction datasets and identify unusual patterns.
- Develop and maintain reconciliation templates, exception reports, and operational dashboards.
- Identify recurring sources of mismatches and recommend improvements to data mapping, transaction references, reporting formats, and system integrations.
- Work with engineering and product teams to investigate data inconsistencies between payment systems and internal accounting records.
- Assist in testing new payment integrations and validating reconciliation outputs before operational deployment.
- Maintain clear procedures for daily reconciliation, exception escalation, evidence retention, and final sign-off.
Candidate Requirements
- Degree or equivalent experience in accounting, finance, economics, information systems, or a related field.
- Experience in financial reconciliation, payment operations, settlement processing, accounting operations, or transaction analysis.
- Strong numerical and analytical skills, with a methodical approach to investigating financial discrepancies.
- Advanced Excel or Google Sheets proficiency, including data matching, lookup functions, pivot tables, and exception analysis.
- Working knowledge of SQL for querying transaction records is highly desirable.
- Understanding of payment processing, bank settlement files, transaction ledgers, refunds, and chargebacks.
- Ability to manage large datasets while maintaining accuracy and appropriate confidentiality.
- Strong documentation skills and the ability to communicate findings clearly to finance, operations, and technical colleagues.
- A commitment to internal controls, traceability, and timely resolution of outstanding issues.
Technical Environment
The role may involve payment processing platforms, accounting and ERP systems, SQL-based databases, business intelligence dashboards, bank reporting interfaces, and automated reconciliation tools. Experience with ISO 20022 payment messaging, SEPA transaction reporting, or financial data integration is an advantage.
Key Performance Indicators
Performance will be evaluated against reconciliation completion rates, the age and value of unresolved exceptions, settlement verification accuracy, turnaround time for discrepancy investigations, and the effectiveness of process improvements.
