Description
Company Overview
The organisation operates in the fintech and digital payments industry, where accurate transaction processing and dependable financial records are essential to business performance. Its financial operations environment involves the coordination of payment information, settlement records, bank transactions, internal accounting entries, and supporting documentation.
As digital payment volumes increase, finance operations teams must ensure that transactions are recorded correctly, discrepancies are investigated promptly, and outstanding items are resolved in line with established procedures. Effective reconciliation and transaction controls help protect financial data integrity, improve reporting accuracy, and provide a clear audit trail across the payment lifecycle.
The organisation is seeking a Finance Operations Specialist to support transaction reconciliation, financial recordkeeping, payment investigations, and operational reporting. This role is particularly suitable for a detail-oriented professional who can manage structured financial processes while collaborating with colleagues across accounting, payments, customer operations, and compliance.
Role Summary
The Finance Operations Specialist will support the accuracy and completeness of financial transactions across internal systems and external financial records. The position focuses on reconciling payment transactions, reviewing settlement reports, investigating discrepancies, maintaining supporting documentation, and ensuring that operational exceptions are followed through to resolution.
The successful candidate will help identify differences between internal transaction records, payment processor reports, bank statements, and accounting entries. They will document the reasons for discrepancies, coordinate with relevant teams, and ensure that adjustments are supported by appropriate evidence and approvals.
The role also involves monitoring outstanding reconciliation items, preparing operational reports, maintaining procedure documentation, and recommending improvements to recurring processes. The candidate must demonstrate strong numerical accuracy, consistent follow-up, and an understanding of the importance of financial controls in a fintech environment.
Key Responsibilities
-
Transaction reconciliation: Reconcile payment transactions, bank records, processor reports, settlement files, and internal ledger entries to confirm that financial information is complete and accurate.
-
Settlement verification: Review settlement amounts, processing fees, transaction totals, refunds, reversals, and other adjustments against the relevant supporting records.
-
Exception investigation: Identify unmatched transactions, duplicate entries, missing records, unexpected amounts, and settlement timing differences, then investigate the underlying causes.
-
Outstanding item management: Maintain a clear register of unresolved reconciliation items, including transaction references, discrepancy amounts, investigation status, assigned ownership, and follow-up actions.
-
Payment operations support: Work with payment operations teams to investigate transaction-processing issues, delayed settlements, failed transfers, and inconsistencies between system records.
-
Financial recordkeeping: Ensure that reconciliations, adjustment requests, supporting evidence, and investigation notes are documented accurately and stored in accordance with internal procedures.
-
Accounting coordination: Collaborate with accounting colleagues to support accurate ledger entries, approved adjustments, month-end close activities, and the resolution of financial reporting discrepancies.
-
Refund and reversal checks: Review relevant refund, reversal, and chargeback records to ensure that associated financial entries are reflected correctly in the appropriate systems.
-
Daily operational reporting: Prepare reports covering reconciliation completion, unresolved exceptions, settlement differences, transaction volumes, and operational processing performance.
-
Control execution: Follow established approval workflows, access restrictions, segregation-of-duties standards, and transaction verification procedures.
-
Quality assurance: Perform routine checks on transaction data and reconciliation outputs to identify inconsistencies before they affect reporting or downstream processes.
-
Process documentation: Maintain step-by-step procedures for recurring reconciliation activities, exception handling, and financial operations tasks.
-
Operational improvement: Identify opportunities to reduce manual data handling, improve spreadsheet controls, standardise reports, and automate repeatable reconciliation steps.
-
Audit and compliance support: Retrieve supporting documentation, explain reconciliation outcomes, and assist with internal reviews or external audit requests when required.
-
Cross-team communication: Coordinate with finance, customer support, risk, compliance, and technical teams to resolve discrepancies that require information from multiple departments.
-
Deadline management: Complete assigned reconciliation tasks within daily and monthly reporting schedules, escalating unresolved material issues when necessary.
