Description

Company Overview

The organisation operates within the digital financial services and payments technology sector, supporting the movement of funds between customers, businesses, financial institutions, and payment service providers. Its operational teams focus on payment accuracy, transaction visibility, timely settlement, and reliable processing across digital payment channels.

The payments operations function works closely with technology, finance, customer support, risk, and compliance teams to maintain consistent service standards. The team values attention to detail, structured problem-solving, accurate recordkeeping, and continuous improvement in an environment where transaction reliability is essential.

Role Summary

The Payments Operations Specialist will support the daily processing, monitoring, investigation, and reconciliation of payment transactions across multiple payment channels. The role involves reviewing transaction statuses, identifying processing exceptions, investigating failed or delayed payments, and ensuring that payment records remain accurate throughout the transaction lifecycle.

The successful candidate will help maintain operational continuity by monitoring payment queues, resolving routine processing issues, coordinating with internal teams and external payment partners, and escalating complex discrepancies when necessary. This position is suited to a detail-oriented professional who understands payment workflows and can manage competing priorities without compromising accuracy or control standards.

Key Responsibilities

  • Monitor incoming and outgoing payment transactions to confirm that payments are processed accurately and within established service-level agreements.
  • Review payment queues, transaction statuses, settlement reports, and exception dashboards to identify delayed, rejected, duplicated, or incomplete transactions.
  • Investigate failed payments by reviewing transaction references, processing timestamps, payment instructions, account details, and available provider responses.
  • Perform daily payment reconciliation by comparing internal transaction records with bank statements, payment processor reports, and settlement files.
  • Identify reconciliation differences, document the underlying causes, and coordinate corrective action with the relevant finance, technology, or payment partner teams.
  • Maintain accurate records of payment investigations, operational adjustments, escalations, and resolution outcomes.
  • Coordinate with payment service providers, acquiring partners, banking institutions, and internal stakeholders to resolve transaction-related issues.
  • Review payment exceptions for potential duplicate processing, incorrect transaction values, missing references, or inconsistencies between systems.
  • Support refunds, reversals, cancellations, and payment corrections in accordance with documented procedures and approval requirements.
  • Monitor recurring processing failures and contribute to root-cause analysis to reduce avoidable exceptions and improve payment success rates.
  • Prepare operational reports covering transaction volumes, processing performance, outstanding exceptions, reconciliation status, and unresolved payment issues.
  • Follow established internal controls, data protection requirements, and applicable payment-related procedures when handling financial information.
  • Assist with operational testing of payment workflow changes, provider integrations, and system enhancements.
  • Recommend improvements to payment documentation, exception handling procedures, and reconciliation workflows.

Requirements and Qualifications

  • Previous experience in payments operations, transaction processing, financial operations, banking operations, reconciliation, or a related field.
  • Good understanding of payment lifecycles, including initiation, authorisation, processing, settlement, refunds, reversals, and reconciliation.
  • Practical experience investigating failed or delayed transactions and maintaining accurate operational records.
  • Ability to interpret transaction reports, bank statements, settlement files, and payment processor data.
  • Strong numerical accuracy and attention to detail when handling financial information.
  • Familiarity with spreadsheets, particularly Microsoft Excel or Google Sheets, including filters, lookup functions, pivot tables, and data validation.
  • Experience working with payment platforms, banking portals, reconciliation tools, ticketing systems, or financial operations software.
  • Strong written communication skills and the ability to explain transaction discrepancies clearly to technical and non-technical colleagues.
  • Effective time management and the ability to prioritise urgent payment issues while maintaining routine operational responsibilities.
  • A structured approach to problem-solving, documentation, escalation, and follow-through.
  • Understanding of confidentiality, access controls, and the importance of following approved procedures for financial transactions.
  • Familiarity with card payments, bank transfers, digital wallets, or cross-border payments would be advantageous.
  • Knowledge of SQL, API-based payment workflows, or automated reconciliation tools would be beneficial but is not essential for every candidate.

Benefits

  • Fully remote working arrangement within Estonia.
  • Opportunity to develop specialist expertise in digital payments and financial operations.
  • Exposure to payment service providers, banking partners, transaction processing systems, and reconciliation workflows.
  • A collaborative working environment involving payments, finance, compliance, customer support, and technology teams.
  • Opportunities to contribute to process optimisation, operational reporting, and payment reliability initiatives.
  • Access to professional development relevant to payment operations, financial technology, and operational risk.
  • Clear procedures and opportunities to take ownership of assigned investigations and improvement activities.
