Role Summary

The Payment Reconciliation & Settlement Specialist will manage and support reconciliation activities across payment processing systems, banking partners, and internal financial records.

The role involves investigating transaction discrepancies, monitoring settlement activities, validating financial records, and ensuring that payment transactions are accurately reflected across relevant systems.

The successful candidate will have a solid understanding of payment operations, financial reconciliation, and settlement procedures, with the ability to identify discrepancies and coordinate timely resolutions.

Key Responsibilities

• Perform daily reconciliation of payment transactions across internal systems, banking partners, payment processors, and financial accounts.

• Monitor settlement activities to ensure transactions are processed and recorded within expected timelines.

• Investigate discrepancies between transaction records, processor statements, and bank settlement reports.

• Identify missing payments, duplicate transactions, unmatched entries, and settlement variances.

• Coordinate with payment operations teams and external service providers to resolve outstanding reconciliation issues.

• Maintain accurate records of settlement transactions, reconciliation results, and unresolved exceptions.

• Monitor payment processing reports and identify unusual transaction movements requiring further investigation.

• Support the preparation of daily, weekly, and monthly reconciliation reports.

• Review settlement procedures and recommend improvements to reduce manual processing and operational errors.

• Collaborate with finance and accounting teams to ensure accurate transaction postings and financial reporting.

• Assist in monitoring chargebacks, refunds, reversals, and payment adjustments.

• Participate in testing and validation of payment system updates affecting reconciliation workflows.

• Maintain operational documentation covering reconciliation procedures and settlement controls.

• Support the implementation of automated reconciliation tools and improved financial reporting processes.

• Escalate significant discrepancies and operational risks to the appropriate stakeholders.

Requirements and Qualifications

• Bachelor’s degree in Accounting, Finance, Banking, Economics, or a related discipline.

• Relevant experience in payment operations, financial reconciliation, settlement processing, or banking operations.

• Strong understanding of electronic payment systems and transaction processing workflows.

• Knowledge of settlement cycles, bank statements, payment processor reports, and financial account reconciliation.

• Practical experience using Microsoft Excel and financial reporting tools.

• Familiarity with payment gateways, card processing, electronic transfers, and digital banking platforms.

• Ability to investigate financial discrepancies and resolve transaction-related exceptions.

• Understanding of accounting principles and financial control procedures.

• Strong numerical accuracy, analytical thinking, and organisational skills.

• Ability to manage deadlines and coordinate with multiple operational stakeholders.

• Professional proficiency in English.
