Role Summary

The Payment Gateway Operations Specialist will oversee operational activities associated with payment gateway performance, transaction processing, and payment service reliability.

The role involves monitoring payment transactions, investigating processing failures, coordinating with payment providers, and supporting the resolution of operational issues affecting payment acceptance and settlement.

Working remotely within Estonia, the specialist will collaborate with engineering, finance, customer support, and external payment service providers to ensure that payment workflows remain accurate, efficient, and reliable.

The position requires a strong understanding of payment processing, operational controls, transaction reconciliation, and digital financial services.

Key Responsibilities

• Monitor payment gateway performance and review transaction processing activity across supported payment channels.

• Investigate failed payments, declined transactions, delayed settlements, and processing inconsistencies.

• Coordinate with payment service providers and financial institutions to resolve operational issues.

• Review payment transaction records and support reconciliation between gateway reports and internal financial systems.

• Monitor transaction success rates, processing delays, and payment-related operational indicators.

• Assist with the configuration and operational management of payment gateway services.

• Support payment testing activities associated with system updates, new payment methods, and provider integrations.

• Maintain documentation covering payment workflows, operational procedures, and issue resolution processes.

• Collaborate with technical teams to investigate API-related payment issues and system connectivity problems.

• Prepare operational reports highlighting payment performance, transaction exceptions, and recurring processing issues.

• Support merchant payment operations and assist with the investigation of transaction-related enquiries.

• Identify opportunities to improve payment processing efficiency, reliability, and operational controls.

Requirements and Qualifications

• Bachelor’s degree or equivalent professional experience in Finance, Business Administration, Information Technology, or a related field.

• At least three years of experience in payment operations, fintech operations, payment processing, or financial systems support.

• Strong understanding of payment gateways, electronic payment methods, transaction processing, and settlement workflows.

• Familiarity with card payments, bank transfers, digital wallets, and payment service provider platforms.

• Understanding of payment reconciliation and transaction exception management.

• Familiarity with API integrations and payment testing procedures is an advantage.

• Proficiency in Excel or Google Sheets and experience preparing operational reports.

• Strong analytical and troubleshooting abilities.

• Excellent attention to detail and organisational skills.

• Ability to coordinate effectively with internal teams and external service providers.

• Strong communication skills and the ability to work independently in a remote environment.
