An opportunity is available for a financially disciplined Officer to support office finance and expense-administration activities within a professional organization. The position is suitable for an individual who can maintain accurate financial records, process administrative expenses, coordinate invoices, monitor departmental spending, and provide reliable support to finance and operations teams.

The successful candidate will work across finance, procurement, human resources, facilities, and office-management functions to ensure that routine financial administration is completed accurately and on schedule. The role will involve reviewing invoices, recording expenses, reconciling supporting information, maintaining supplier records, and assisting with budget monitoring.

The Officer will also help improve financial administration by introducing structured reporting procedures, improving expense documentation, and supporting digital finance systems and automated approval workflows.

Key Responsibilities

  • Process and organize office-related invoices and expense documentation.
  • Review invoices for completeness and appropriate supporting information.
  • Maintain accurate records of administrative expenditure.
  • Assist with departmental budget and expense monitoring.
  • Coordinate with suppliers regarding billing and payment documentation.
  • Support purchase-order and procurement administration.
  • Reconcile expense information with internal records.
  • Prepare periodic office-expense summaries and reports.
  • Maintain supplier and financial-administration records.
  • Assist with month-end administrative finance activities.
  • Support audit preparation by organizing financial documentation.
  • Monitor outstanding invoices and administrative payment requirements.
  • Identify discrepancies and coordinate corrections with relevant departments.
  • Recommend improvements to office expense-management processes.

Desired Qualifications & Skills

  • Degree or diploma in Accounting, Finance, Business Administration, Economics, or a related discipline.
  • Experience in finance administration, accounts support, procurement, or office operations.
  • Strong numerical accuracy and attention to detail.
  • Good knowledge of Microsoft Excel and financial-administration systems.
  • Strong organizational and recordkeeping abilities.
  • Ability to manage deadlines and multiple administrative tasks.
  • Professional discretion when handling financial and supplier information.
