An established fintech environment in Estonia is looking for a Fintech Workplace Coordinator to oversee the practical coordination of its professional office environment.

The position combines workplace management, administration, supplier coordination, employee support, and internal operations. It is ideal for someone who takes ownership, notices details others miss, and enjoys creating an efficient working environment.

Your Responsibilities

• Coordinate daily workplace operations and office services.
• Manage relationships with suppliers, contractors, maintenance providers, and service partners.
• Ensure office facilities, equipment, meeting spaces, and supplies remain fully operational.
• Coordinate employee workplace requirements and administrative requests.
• Support onboarding activities, workplace access, and internal procedures.
• Organise meetings, workshops, events, and company activities.
• Maintain office documentation, supplier records, and administrative registers.
• Assist with procurement, purchase orders, invoices, and routine office expenditure processes.
• Prepare operational reports and administrative summaries.
• Coordinate requests between employees, management, and external providers.
• Support workplace policies and internal procedures.
• Contribute to projects designed to improve employee experience and operational efficiency.
• Maintain confidentiality when dealing with employee, supplier, or corporate information.

What You Bring

• Experience in workplace coordination, office management, administration, or business operations.
• Strong organisational and interpersonal skills.
• Ability to coordinate multiple suppliers and internal requirements.
• Excellent communication and follow-through.
• Comfortable working with digital workplace platforms and productivity software.
• Strong attention to detail and practical problem-solving ability.
• Professional English communication.
• Experience in a technology or financial-services environment is beneficial.
