About the role
We are looking for a proactive and detail-oriented Operations Coordinator to support the day-to-day operations of Drive . In this role, you will ensure our fleet runs efficiently by managing repair and maintenance administration, tracking operational performance, and handling key compliance and back-office processes.
Working closely with the Fleet Manager and Senior Operations Specialist, you will play a key role in maintaining fleet availability and operational excellence while identifying opportunities to automate and improve manual workflows using AI and automation tools.
Main tasks and responsibilities:
- Ensure repair and maintenance cost accuracy by processing invoices, matching them against damage records, and investigating any discrepancies.
- Monitor vehicle downtime and repair lead times, providing insights that help optimize body shop performance and fleet availability.
- Manage fleet administrative processes, including vehicle in- and de-fleeting, compliance documentation, and fuel fraud investigations.
- Investigate and resolve vehicle quality issues, including cleanliness complaints, mechanical defects, and failed customer orders.
- Identify opportunities to automate and streamline repetitive operational processes using AI and automation tools, improving efficiency and reducing manual workload.
- Maintain accurate operational records and collaborate with cross-functional teams to ensure timely issue resolution and a high standard of fleet operations.
About you:
- 1–3 years of experience in operations, administration, logistics, fleet management, or a similar operational role.
- Highly organized with exceptional attention to detail and the ability to manage multiple priorities simultaneously.
- Comfortable working with data and administrative processes, with strong Excel or Google Sheets skills.
- A proactive problem solver who enjoys improving processes and finding smarter ways of working through automation and AI.
- Strong communication skills with the ability to collaborate effectively across teams.
- Fluent in English; Czech is a strong advantage.
