ABOUT THE JOB
Join us as a resourceful, can‑do partner whose mission is to keep our executive leadership running at peak efficiency. In this fast‑paced, international environment, you’ll support leaders across a multinational banking group while shaping smoother, smarter ways of working. Working closely with the Lead of the Executive Assistance Team and fellow EAs, you’ll ensure seamless, high‑quality support and have real space to influence processes, grow professionally, and make a visible impact within Luminor.
How You Will Make an Impact:
- Be a trusted day‑to‑day partner to selected Management Board members and senior leaders
- Own end‑to‑end calendar management, including prioritization, scheduling and preparation of meetings with multiple stakeholders and complex calendars
- Plan and coordinate meetings and leadership sessions: room setup, participant management, pre‑reads, materials and follow‑ups
- Manage travel and expenses, including bookings, itineraries, changes and related administration
- Serve as a professional point of contact for internal and external stakeholders
- Handle correspondence, calls and visitors to ensure smooth communication
- Manage documents requiring executive review and signature, and prepare/print materials as needed
- Format documents and presentations to a high standard
- Support internal events and leadership meetings through agenda preparation, communication, logistics, vendor coordination and catering
- Drive small initiatives that improve efficiency, processes and employee experience
- Ensure smooth office operations, including supplies and maintaining office condition
- Provide cover for fellow Executive Assistants during absences
What Makes You a Great Fit:
- Excellent planning, prioritization and time‑management skills, with the ability to handle multiple moving parts in a changing environment without compromising quality
- Very proactive, structured, can‑do mindset and a consistently positive, solutions‑focused approach
- High attention to detail and strong personal standards in everything you deliver
- High confidentiality, integrity and mature judgement in all interactions
- Strong digital and MS Office skills, especially in Outlook and PowerPoint
- Comfortable working independently while being a collaborative, supportive team member
- Experience supporting senior executives in a complex organisation is an advantage
- Basic coordination or project support skills are a plus
- Fluent English is required in spoken and written communication due to working on the Pan-Baltic level
