Position Overview

We are seeking a detail-oriented Payments Operations Specialist to support the reliable processing, monitoring, and reconciliation of digital payment transactions across a modern financial services environment. The successful candidate will contribute to daily payment operations, investigate transaction exceptions, and help ensure that payment instructions are processed accurately, securely, and within established service-level requirements.

This role is suited to a payments professional who understands transaction lifecycles, settlement procedures, operational controls, and the importance of maintaining accurate financial records. Working closely with finance, customer support, compliance, and technical teams, the specialist will help resolve payment discrepancies and maintain consistent operational performance.

Based in Estonia, the position offers an opportunity to contribute to the development and delivery of efficient payment services within Europe’s digitally advanced financial technology ecosystem.

Key Responsibilities

• Monitor incoming and outgoing payment transactions across supported payment channels and financial platforms.
• Review transaction statuses, identify failed or delayed payments, and coordinate timely investigation and resolution.
• Perform daily reconciliation of payment records, settlement reports, bank statements, and internal transaction ledgers.
• Investigate discrepancies involving duplicate transactions, missing funds, rejected payments, chargebacks, and settlement differences.
• Support payment processing activities involving SEPA Credit Transfer, SEPA Instant Credit Transfer, card payments, and other supported payment methods.
• Maintain accurate records of payment exceptions, operational adjustments, and outstanding reconciliation items.
• Coordinate with banking partners, payment service providers, and internal technical teams to resolve processing issues.
• Follow established procedures for payment approvals, transaction verification, exception handling, and escalation.
• Prepare operational reports covering transaction volumes, settlement status, processing delays, and reconciliation performance.
• Identify recurring operational issues and recommend improvements to workflows, controls, and processing efficiency.
• Support internal audits and operational reviews by maintaining complete and traceable documentation.
• Handle sensitive financial information in accordance with internal security requirements and applicable data protection obligations.

Candidate Requirements

• Degree or equivalent professional experience in finance, banking, accounting, business administration, or a related field.
• Previous experience in payment operations, transaction processing, banking operations, financial reconciliation, or a similar function.
• Understanding of payment processing workflows, settlement cycles, transaction statuses, and exception management.
• Familiarity with SEPA payments and European banking operations is an advantage.
• Good working knowledge of Excel or Google Sheets; experience with SQL, payment dashboards, or reconciliation systems is beneficial.
• Strong numerical accuracy, analytical thinking, and attention to detail.
• Ability to investigate discrepancies, maintain clear documentation, and manage multiple operational priorities.
• Professional communication skills and the ability to coordinate with internal teams and external service providers.
• A disciplined approach to confidentiality, operational risk, and compliance procedures.
