Description
About the role
We are looking for a detail-oriented and proactive Supply Chain Coordinator to join our Groceries team and support the continued growth of our grocery vertical and dark-store operations. In this role, you will coordinate purchasing activities across three markets — Estonia, Romania and Poland — working closely with each country’s Supply Chain Specialist, local suppliers and HQ teams to maintain strong product availability across our stores.
This is a hands-on operational role where accuracy, organisation and timely follow-up are essential. You will manage purchase orders, monitor fulfilment and supplier performance, help resolve delivery and invoice issues, and support performance analysis and forecasting adjustments. You should be comfortable managing several priorities simultaneously, communicating with stakeholders across different markets and taking ownership of issues until they are resolved.
The role follows a hybrid working setup, with required working hours from 8:00 to 16:00, and reports to the Country Supply Chain Manager.
Main tasks and responsibilities:
- Place and manage purchase orders across Estonia, Romania and Poland, helping ensure strong SKU availability across all Bolt Market stores.
- Track purchase-order fulfilment daily, monitor vendor performance and identify delays, gaps or recurring issues requiring action.
- Communicate directly with suppliers regarding non-deliveries, order discrepancies and changes to delivery schedules, ensuring issues are followed through to resolution.
- Support the Supply Chain Specialists with performance analysis, inventory insights and adjustments to forecasts and purchasing plans.
- Manage the invoice approval process, verify information across supporting systems and resolve discrepancies or other invoice-related issues.
- Collaborate with local and HQ stakeholders across three markets, bringing structure and reliability while working in a fast-paced environment with competing priorities.
About you:
- You have a Bachelor’s degree; around one year of experience in supply chain, procurement, logistics, retail operations, finance administration or another fast-paced environment would be an advantage.
- You have good Excel or Google Sheets skills and are comfortable working with operational data, purchase orders, invoices and performance metrics.
- You are highly organised and detail-oriented, with the ability to manage recurring tasks accurately while responding quickly to unexpected issues.
- You take ownership of your work, follow up proactively and ensure operational or supplier-related problems are properly resolved.
- You communicate clearly and confidently with suppliers and internal stakeholders, and you have excellent written and spoken English and Estonian.
- You are comfortable working in a hybrid setup and can consistently follow the required working schedule of 8:00–16:00.
